Online Event Registration

SGA/GMRC has recently reconfigured and upgraded the registration website. The first time you use this new system, you will be redirected to a setup page for the new system.

  • If you have registered for SGA or GMRC events in the past, enter your login and password that you used for previous registrations.
  • If you do not remember the login, click on "Forgot login" (at the bottom of the page), and the password will be sent to you via email.
  • If you have NEVER registered for an SGA or GMRC event, click on "New Customer?  Click Here" (at the bottom of the page), and it will request your personal information to set up an account.

Follow the prompts, review data, and click  "Continue".

Cancellation & Refund Policies

 

GMRC understands that there may be times that an event attendee has a need to make a request for cancellation. In an effort to balance the needs of the attendee and the risks that the GMRC assumes in preparing for its events (food & beverage, event material production services, etc.), GMRC provides the following standard cancellation policies.

General Cancellation Requirements

  • Event cancellations with account credit can be managed through the Membership Portal by accessing your Event Registrations.
    • Partial event (i.e. one function of a conference) cancellations/credits must be handled by Member Services.
  • Requests for refunds must be made in writing either via email to [email protected] or via facsimile to 972.620.1613.
  • Any event attendee or exhibitor requesting a cancellation should request a confirmation of the cancellation prior to assuming the cancellation has been received and processed.
  • Refunds paid by Credit Card will be returned by Credit Card and less the 3% processing fee.
  • Substitutions are allowed without penalty.

GMRC has four policies for cancellation. If an event web page does not specifically state which policy it follows, attendees should contact Member Services for more information on which policy is in effect.

Policy “A” – Open Seating + Exhibitors

  • Cancellations made 30 or more days prior to the event start date will be eligible for a full refund.
  • Cancellations made between 14 and 29 days prior to the event start date will receive an account credit for the full amount paid. (Less a 3% processing fee if paid by credit card.)
  • Cancellations made 13 days or fewer prior to the event start date will result in one of the following options:
    • You can arrange for a substitute to attend in your place.
    • If no substitution is possible, the registration fee will be forfeited, and no refund or credit will be provided.
  • Note that refund or credit requests must be coordinated with Member Services.

Policy “B” – Limited Seating

  • Cancellations made up to 30 days prior to the start date of the activity, receive full refund. (Less a 3% processing fee, if paid by credit card.)
  • Cancellations inside this 30 days window, 75% refund will be processed if your seat is filled. In the event your vacated seat cannot be filled, no refund will be given.

Policy “C” – Online Courses/Events

  • Cancellations made prior to 24 hours before the start date of the activity will receive a credit to a future event.
  • No refund is available for cancellations made after the 24 hours prior to the activity.

Policy “D” – Online Conferences

  • Cancellations made 14 days before the beginning of the online conference will be issued a full refund, less a $50 processing fee.
  • For cancellations inside this 14-day window, no refund will be issued; however, the registrant will receive an accessible link to all recorded sessions at the conclusion of the conference.

 

Hotel Accommodation Requirement

As a condition of participation in the Gas Machinery Conference (GMC), all sponsors and exhibitors are required to book accommodations within GMRC’s official room block at the designated headquarters hotel for the full duration of the event. This policy ensures GMRC meets contractual obligations, avoids financial penalties, and supports the continued quality and sustainability of the conference.

By participating, you agree to the following conditions:

  • All sponsor and exhibitor representatives must stay at the GMC headquarters hotel, booking through GMRC’s official room block link.
  • Hotel reservations must be secured at the time of event registration, paid in full. No refunds will be issued, but name changes are allowed.
  • All unused rooms must be released at least 30 days prior to the conference start date.
  • Failure to comply constitutes a breach of the Sponsor/Exhibitor Agreement.

Non-compliance penalties may include:

  • A penalty fee equal to GMRC’s actual room revenue loss due to non-block usage.
  • Loss of benefits such as signage, app listing, or attendee access.
  • Loss of priority placement or booth/sponsorship selection for future GMC events.
  • Ineligibility to participate in future GMRC-hosted conferences.

Note: Booking at the HQ hotel or overflow properties without using the official GMC room block link does not count toward room block fulfillment.

Booking information will be provided upon registration. Early reservations are strongly encouraged to ensure availability and fulfillment of this requirement.

 

Who Can Attend GMRC Events & Conferences?

GMRC events are open to members and non-members who operate in at least one of the following categories:

  1. DISTRIBUTION Members and non-member organizations functioning as a gas distributor or operator of gas distribution facilities, both gas distribution and transmission facilities, or municipality.
  2. TRANSMISSION Members and non-member organizations operating gas transmission facilities without major distribution facilities.
  3. GAS SUPPLY MARKETING Members and non-members whose principal gas business is operating as a producer or marketer of natural gas.
  4. ASSOCIATE Members and non-members defined as corporations, partnerships, limited liability companies or individually-operated concerns that are: (a) Manufacturers or distributors of equipment or apparatus useful to the gas industry; or (b) Consulting engineers, attorneys, financial advisors, rate consultants, public accountants, service organizations, or technical journal publishers or others not eligible for other membership classifications that are closely associated with and regularly render service to the gas industry.
